Davos 2027 planning timeline
The Annual Meeting runs Monday 18 to Friday 22 January 2027. This is what to settle each month between now and then, and who in a company usually owns it.
Written for whoever is preparing Davos: the executive assistant and the chief of staff, and the events, communications, partnerships, procurement, security and travel people who each own a part of the week. Every step ends at the page or form that acts on it.

Where everyone sleeps and works
Agree who is going and what the week is for
Decide who is in the delegation, which meetings justify the trip, and whether the company needs its own place to host meetings or separate rooms will do. Every later decision follows from this one.
Chief of staff
Accommodation for corporate teams →Settle accommodation
Central places fill six to nine months ahead and most let only for the whole week, so for 18–22 January what remains is limited and changes by the day. Decide how many people, which nights, and how close to the Congress Centre each of them has to be.

Request accommodation →Bring procurement in before the shortlist
Prime chalets along the Promenade are often held on multi-year arrangements agreed over the summer, and central places let for the whole week with terms set early. Agree in advance who signs, and get the deposit, cancellation and replacement-property terms in writing for each property.
Procurement · Chief of staff
What we confirm on every property →Have security review every shortlisted address
The Cantonal Police redraw the security perimeter every year and the line can fall mid-street. Whether a door sits inside it decides entry checkpoints, whether a vehicle can reach the entrance, and where cars wait, so check each address before anything is signed.
Security
Zones and walking times →Decide whether you need a working base
An office, a meeting room or somewhere to host near the Congress Centre is confirmed address by address, and the rooms that work for meetings go first.
Chief of staff · Events · Partnerships · Procurement
Brief us on a working base →Decide whether you host, and in what format
For 2027 the town caps temporary structures and venue conversions at roughly 125 projects. Private chalet gatherings, hotel suite roundtables and seated restaurant dinners sit outside the cap.
Events
Read the 2027 rules →Put your speakers forward
Side event agendas come together in the months before the week, once each host has settled its own programme. Put forward one named person with one clear subject.

Who you will see
Ask for the invitations that matter
Houses and dinners build their guest lists weeks or months ahead. Email the host organisation in November with your dates and one line on why you should be in the room.
Partnerships · Chief of staff
Find my Davos Match →Clear invitations to public officials
If ministers, regulators or other officials are among your guests, run each invitation past your own hospitality and gifting rules before it goes out, and plan rooms, timings and arrivals with their security in mind.

Private dining →Fix the meetings that cannot move
Start the calendar with them, then set each one against where your principal or team is staying. Everything else fits around those.

How everyone gets in and around
Check access for every event on the calendar
A WEF badge, a hotel badge, a registration and an invitation are four different things. A hotel badge comes from the Cantonal Police and needs a meeting inside the secure zone and someone inviting you; in January 2026 nearly 200 people who had paid for one were left outside.
EA · Chief of staff · Security
Badges and access →Plan the journey in and the moves around town
Trains from Zurich run via Landquart. Once the main street jams, walking or the train between Platz and Dorf beats a car. Vehicle stickers come from the Cantonal Police alongside hotel badges.

Getting to Davos →Book the lunches, dinners and receptions
The evenings are where much of the week happens, and the good tables are settled well before January.

One calendar everyone works from
Make the calendar able to move
Keep the essential meetings visible, mark what can be dropped, use real walking times and leave gaps. Davos produces last-minute meetings and invitations, and a calendar with no room for them is already too full.
EA
Zones and walking times →Arrive by Sunday 17 January
Collect credentials before the queue builds, and walk the route from where you are staying to the Congress Centre in the real conditions before the week starts.

The week
Expect it to change
Speakers change, meetings move and invitations arrive on the day. Someone on the ground who knows the town keeps the calendar working.
Everyone
Have us plan the week →Ask about 2028 before you leave
The places worth having are agreed a year or more ahead. If this year's place worked, ask to keep it for next January while you are still in Davos.

Who owns what
In most companies Davos is shared between several people. When each knows their part and where to send it, nothing falls between two desks.
Executive assistant
The principal's diary, where they stay, which rooms they can get into, and the one version of the week everyone works from.
Plan my whole week →Chief of staff
Who goes and why, whether the company hosts in its own place or takes separate rooms, and how close the principal needs to be to the Congress Centre.
Brief us on a working base →Events and marketing
Whether the company hosts, the format and the venue, under the 2027 cap on Promenade structures.
Office and meeting space →Communications and corporate affairs
Who speaks where, which media are in town, what the company says that week, and the rules around hosting public officials.
Become a speaker →Partnerships and business development
Who the team needs to meet, the invitations that get them into those rooms, and the follow-up.
Find my Davos Match →Procurement
Who signs, what the price includes, and the deposit, cancellation and replacement-property terms on every booking.
Request accommodation →Corporate security
Where each address sits against the security perimeter, how people and vehicles reach the door, and who is responsible at two in the morning.
Zones and walking times →Travel and office
Beds for the whole team, arrivals and departures, and getting people between Platz, Dorf and Klosters.

Questions people ask
- When should accommodation for Davos 2027 be booked?
- As early as possible. Central places in Davos fill six to nine months before the Annual Meeting, and most let only for the whole week, so by October what remains is limited and changes by the day.
- When do invitations to Davos side events go out?
- Hosts build guest lists for Houses and dinners weeks or months ahead. Ask in November, with your dates and one line on why you should be in the room, rather than in January.
- Who in a company usually prepares Davos week?
- Usually several people. The chief of staff decides who goes and why; the executive assistant runs the principal's diary and stay; events or marketing own anything the company hosts; communications and corporate affairs handle speakers, media and public officials; partnerships handle meetings and invitations; procurement signs the contracts; security reviews every address; and travel or office look after the team's beds and transport.
- Does a hotel badge get you into Davos side events?
- A hotel badge is issued by the Cantonal Police for venues inside the secure zone and needs a meeting there and someone inviting you. Most side events outside that zone never need one; they run on invitation or registration.
